About this course

This course brings together the lessons on the "Purchases" menu in Daftra, starting with adding a purchase invoice linked to inventory, whether you enter the items by hand, paste them from an Excel file or upload an image of the invoice for AI to read.

It then walks through the full purchase cycle, from the purchase request and supplier quotations to the purchase invoice, and explains how to handle what comes after the invoice:

  • Credit notes for adding costs to the supplier's account.
  • Purchase returns and debit notes, and the difference between them.
  • Designing purchase invoice templates and adjusting their settings, such as numbering, product price updates and journal entry descriptions.

What you will learn

  • Create a purchase invoice from an image or PDF with AI and match its products and supplier
  • Enable the purchase cycle and move between its documents, from purchase request to purchase invoice
  • Design a custom template for purchase invoices and returns and use it for printing
  • Issue a credit note to add extra costs to a supplier's account
  • Create a purchase return or a debit note and tell apart the effect of each
  • Adjust purchase invoice settings such as numbering, product price updates and journal entry descriptions

FAQ

What language are the videos in, and are there captions?

The videos are in Arabic. Every lesson has an English transcript and English captions.

What is the difference between a purchase return and a debit note?

A purchase return affects stock movement and lets you recover the amount paid to the supplier, so it is the one to use when goods are actually sent back. The sixth lesson covers both options and how to create each one from the purchase invoice page.

Does a credit note change product quantities in stock?

No. A credit note does not affect inventory and cannot contain products or services; it is only used to add costs such as transport to the supplier's account, and it appears on the purchase invoices page.

Does a purchase invoice saved as a draft affect the accounts?

No. A purchase invoice saved as a draft has no accounting effect until it is issued.
